Invoice follow-ups
Finds overdue invoices, drafts a reminder in the right tone for how late it is, and waits for your approval before anything is sent. Paid invoices drop off the list.
AI automation for US small businesses
ZVK Systems takes the repeat work off your plate: chasing invoices, entering leads, rescheduling calls, drafting status reports. We build the automation, run it for you, and send a log of what got done.
Narrow, repeatable work with a clear finish line. If you do it more than twice a week, it is probably a fit. We start with Gmail and Google Sheets and add other tools as clients need them.
Finds overdue invoices, drafts a reminder in the right tone for how late it is, and waits for your approval before anything is sent. Paid invoices drop off the list.
Sorts incoming email by topic, routes it to the right person, and drafts replies to routine questions for you to approve.
Turns form fills and emails into clean CRM records, removes duplicates, and starts your follow-up schedule.
Pulls the week's tickets, documents and calendar into a draft status update that you can edit and send.
Books and moves calls, accounts for time zones, and sends the confirmations.
Copies numbers between spreadsheets, forms and dashboards, and checks them on the way.
ZVK Systems fits US businesses of about 2 to 50 people where the owner or an operations manager still does the repeat work by hand.

You describe the chore once. After that it runs on its own, and you only see the exceptions.
Walk us through the task you repeat every week: where it starts, what tools it touches, what done looks like.
We set up the automation in your existing tools and run it beside you until its results match yours.
Each run writes to a log. Anything unusual waits for your approval before it goes out.
Automation touches your clients and your money, so we build it to be easy to check and easy to stop.
Anything that goes to a client or moves money waits for your yes until you choose to let that task run on its own.
Each action is recorded with what was done, in which tool, and when, so you can see exactly what happened.
We connect to the specific tools and folders a chore requires, and you can remove access at any time.
Every business is different, so we agree on the scope and the price with you before any work starts. Pick the starting point that fits and tell us about your chore.
Starter
One chore automated from start to finish, such as invoice follow-ups or lead entry.
Growth
For teams with a few repeat chores that they want off their plate together.
Custom
More than three workflows, unusual tools, or a process that does not fit the other packages.
No price is fixed until you have seen what we would build and agreed to it.
ZVK Systems builds and runs AI automation for small US businesses. Most owners lose hours every week to work that follows the same steps each time: following up on invoices, entering leads, booking calls, writing the same status update. None of it is hard. All of it takes time.
We take that work on. You describe the chore once, we build the automation, and we run it for you. You see a log of what got done, and you stay in control of anything that goes to a client.
We work with US businesses of about 2 to 50 people where the owner or an operations manager still does repeat work by hand: accounting and bookkeeping firms, agencies, insurance and real estate teams, and online stores.
Short answers to what small business owners ask first.
No. You describe the chore in plain language and we do the setup. You review the results in a log written for people, not engineers.
We start with Gmail and Google Sheets and add other common business tools, such as calendars, accounting software and CRMs, as clients need them. Tell us what you use and we will say whether it is a fit.
New workflows run with your approval on each action. We watch the results, fix errors, and only let a task run on its own once you are comfortable with it.
Only the people working on your workflow, and only the data that workflow needs. We will go through exactly what is accessed before anything is connected.
Send us a message about the chore you want to hand off. We reply with what we would automate and how it would work, and we start once you agree.
We start with a short conversation about the chore you want automated. We then agree the scope and the price with you in writing, and no work starts before you have said yes.
Fixes and small changes to a workflow are covered by your agreement. If you want a different chore automated, that is a new workflow, and we will quote it the same way.
